Job Description

Emmanuel International is a faith based organization working with rural communities in the southern part of Malawi in Relief and Development since 1987. Emmanuel International is implementing Development and Food Security project known as Titukulane Project, meaning (let us work together for development}. This project is for five years and it will be implemented in Mangochi.

The Titukulane project intends to focus on six program areas: Agriculture, Maternal and Child Health, Water supply and sanitation, Civil Society, Disaster readiness, Private sector productivity and Environment. The project will both build capacities of women, men, girls and boys, and address systematic weaknesses that limit opportunities and reduce the likelihood of sustained outcomes.

Job Title: Administrative Assistant (1 Post)

Reporting To: The Administration Manager

Job Responsibilities

  • Maintains files covering all aspects of the program.
  • Makes travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
  • Monitors the incoming /outgoing supplies and materials with appropriate backing documents all the time.
  • Assists in procurement process and steps for Project supplies and inputs.
  • Performs daily tasks such as photocopying, correspondence, page, phoning and taking phone messages
  • Assists Sector Managers with their office needs from time to time and as guided by the Administration Manager
  • Handles petty cash, collecting receipts and reimbursing people appropriately.
  • Keeps minutes at meetings and circulate them appropriately
  • Produces schedules, plans, handouts, letters, budgets, proposals.
  • Arranges meetings, trainings, and coordinates with responsible people timely all the time
  • Gives support to Departments activities, being available for questions, and giving any other administrative support.
  • Performs such other duties directly related to the main duties listed above or related to the delivery of the output and results expected from the Administrative Officer in the roles ascribed to them according to their postings.

  • Advanced Diploma in Business Administration or Administrative Studies from a well-recognized and properly accredited institution.
  • Three years of relevant experience in similar position in an NGO environment.
  • Ability to pay attention to detail.
  • Ability to multi-task.
  • Good communication skills both spoken and written English
  • Computer literate in office packages
