The International Institute of Tropical Agriculture (IITA) is a not-for-profit institution that generates agricultural innovations to meet Africa’s most pressing challenges of hunger, malnutrition, poverty, and natural resource degradation. Working with various partners across sub-Saharan Africa, we improve livelihoods, enhance food and nutrition security, increase employment, and preserve natural resource integrity.

IITA is member of the consortium implementing the “Root and Tubers for Agricultural Transformation project “in Malawi, funded by Irish Aid Malawi. The project aims to increase productivity, climate resilience, nutritional and quality of cassava, potato and sweetpotato production systems. IITA is leading the cassava component. 

The International Institute of Tropical Agriculture (IITA) is now inviting applications from qualified candidate to fill the following position:

ADMINISTRATIVE ASSISTANT

Job Responsibilities

The Administrative Assistant (Data, logistics, secretarial and accountability) will work as a member of the project team in Malawi

Primary Duties:

  • Provide Secretarial services to the Project.
  • Provide communication support between the project and all its partners
  • Establish data records and administrative systems for the project.
  • In coordination with the project coordinator assist in organizing meetings, and work groups
  • Prepare, organize and provide administrative support for workshops and meetings
  • Prepare meeting minutes, documents and reports as appropriate.
  • Make travel arrangements and hotel bookings for the project staff as well as project partners.
  • Provide support by monitoring expenditures within IITA, for cost centres under the IITA Malawi Accountant, and following up on outstanding travel advances.
  • Develop and maintain an up-to-date inventory of equipment and materials belonging to the project and ensure proper maintenance.
  • Carry out any other duties as assigned by the supervisor.

Qualification and skills required

  • Education: Diploma in Management or Business administration from a reputable university/college
  • Experience: Minimum experience of 3 years in a similar position
  • Skills: Basic knowledge of Accounting, good organization and planning skills with effective time management skills, ability to perform multiple tasks and work under pressure, excellent computer skills - Microsoft Office packages, knowledge of immigration and visa procedures, knowledge of work processes in international organizations, excellent communication skills, ability to work in a multi-cultural setting, team player
