Administrative Assistant


DESCRIPTION:

The International Institute of Tropical Agriculture (IITA) is a not-for-profit institution that generates agricultural innovations to meet Africa’s most pressing challenges of hunger, malnutrition, poverty, and natural resource degradation. Working with various partners across sub-Saharan Africa, we improve livelihoods, enhance food and nutrition security, increase employment, and preserve natural resource integrity. The International Institute of Tropical Agriculture (IITA) seeks a qualified candidate for the position of Administrative Assistant. He/She will work as part of the Administration Unit in Southern Africa based in Lilongwe, Malawi.

ESSENTIAL DUTIES:

The Administrative Assistant reports directly to the Station Administrator for guidance, major work plan and day to day operations. The major responsibilities of the Administrative Assistant are as follows:

  • Coordinate vehicle movement by functioning as Transport Officer
  • Handle renewal of vehicle road licences, insurances as well as preparations of the necessary documents required for the IITA vehicles travelling outside Malawi.
  • Clearing of goods with customs, assist with the prompt clearance and delivery of IITA imported goods, more so perishable items to avoid degradation.
  • Ensuring that there is adequate and functional safety equipment in the institutes laboratories and offices
  • Proper organizing and charging of cost recovery for the station
  • Maintain an effective filling system and safe keeping of confidential documents.
  • Provide administrative and logistic support to all staff and visitors; assist IITA visitors with appointments, itineraries, ground transportation and reservation for accommodation while in Malawi.
  • Assist in the organization of seminar, conferences, and workshops
  • In charge of the storeroom and prepare monthly inventory reports.
  • Any other duties assigned from time to time.

 

Requirements

  • Education: Bachelor’s Degree in Management or Business Administration from a reputable University.
  • Experience: Minimum experience of 3 years in a similar position
  • Skills: Basic knowledge of Accounting, good organization and planning skills with effective time management skills, ability to perform multiple tasks and work under pressure, excellent computer skills – Microsoft Office packages, knowledge of immigration and visa procedures, knowledge of work processes in international organizations, excellent communication skills, ability to work in a multi-cultural setting, team player.
