ActionAid Malawi (AAM) is a locally registered non-governmental organisation under the Company’s Act 1984 as a company limited by guarantee and is an affiliate of ActionAid International, a federation of national organizations working in over 45 countries in Africa, Asia, America and Europe regions. ActionAid has been working in Malawi since 1991 and works in partnership with communities, community based organizations, civil society, social  movements, and governments across the world to fight and eradicate poverty, injustice and exclusion. We work with and support poor and excluded people in the struggle to demand and claim their rights. ActionAid’s work is focused around women’s rights, education and youth, food security, just and democratic governance, human security and in HIV and AIDS.

ActionAid Malawi in consortium with Centre for Civil Society Strengthening (CCSS) and in collaboration with the Ministry of Gender, Children, Disability and Social Welfare (MoGCDSW), will implement a 2 year project worth NOK12.5Million funded by The Norwegian Embassy in Malawi. The project is named ’50:50 Campaign Programme-Increasing Women Political Participation and its main outcome is ‘Towards improved promotion and participation of women in leadership and decision making positions in Malawi.The Project will run from 1st December 2017 to 30th November 2019. The Malawi Electoral Commission’s accredited gender focused NGOs, UN Agencies and Parliamentary Women Caucus will participate in the implementation of the project.

Job title: Administrative Assistant

Reporting to: HR/Admin Officer

Duration: Two (2) Years

Job Purpose
The Administrative Assistant will provide primary support in the day to day activities of the project to ensure an overall smooth implementation of the project. She/he will coordinate office management and administrative services including communication, security, resource management and organised support to project staff

Key Responsibilities 

  • Organises and disseminates information and other documentation for the project as required for meetings, travel and other important events
  • Coordinates logistical arrangements pertaining to various events for the project
  • Facilitates project’s vehicles maintenance
  • Ensures project’s equipment and assets are properly maintained
  • Provides support to the Administration Unit in the procurement of the goods and services


Qualifications, Skills and Competencies

  • Advanced Diploma in Business Administration [Human Resources Management/Secretarial Studies
  • 3 years post-qualification experience in Human Resources Management or Administration
  • Fair understanding of laws and regulations on labour, health and safety in the Country
  • Fluency in written and spoken English and native language
  • Proficiency in MS Office
  • Good interpersonal skills
