Job Description

Applications are invited from suitably qualified and experienced candidates to fill the position below at John Tennyson & Associates Offices in Mzuzu.

Position: Finance & Administration Officer

Duty Station: John Tennyson & Associate (JT & A)

Reporting To: Managing Partner

The successful candidate shall be responsible for all Financial and Management Accounting activities at John Tennyson & Associates, ensure compliance with JT & A financial policies and procedures for internal controls, financial reports, Budgeting, advising the partners, payments, receipts, cash management and updating the ledger accounts.

Key Duties and Responsibilities

Financial Management

  • Prepare annual estimates of expenditure for JT & A
  • Produce monthly management accounts for the Managing Partner review
  • In collaboration with the Managing Partner, prepare, co-ordinate, consolidate, assist and review firms development annual plan & budget
  • Ensure periodic cash flow forecasts
  • Ensure that cash flow forecasts are produced and updated regularly
  • Made remittance requests to the Managing Partner to ensure that sufficient funds are available to meet the firms commitments
  • Prepare tax returns and keep up to date with developments in taxation and ensure that JT & A remains tax compliant at all times
  • Ensure that all payments requests are properly checked and that they are validated by proper documentation before approval is made by the Managing Partner and payment is made
  • Help in designing and effecting the led down procedures to help JT & A achieve the entity’s objectives with regard to reliability of financial reporting, effectiveness and efficiency of operations and compliance with applicable laws and regulations.
  • Ensure that the internal control systems are reviewed periodically and that they remain effective at all times
  • Ensure that all accounts are properly prepared and closed and ready for annual auditing
  • Assist in internal and external audit preparations and implementation of recommendations from the audit plan and audit management report issues.
  • Ensure that fixed-assets register is regularly updated and kept according to JT & A guidelines.
  • Facilitate year-end audit and ensure timely reports & circulation to all relevant stakeholders
  • Effective control of expenditures incurred by the office and advising the Managing Partner accordingly for the purpose of making well informed decisions.
  • Ensure that all cash received is well receipted and banked accordingly, in accordance with laid down procedures
  • Separate the client account with companies general administration funds and continuously make proper reconciliation on the same every month in liaison with the Managing Partner
Systems and Organizational Development
  • Participate in company’s strategy development, review and implementation, especially in the areas of finance and HR/administration.
  • Ensure revision of HR/personnel, administration and finance policies, procedures, and systems for continuous improvement and changing circumstances and in conformity to Malawian labour law.
  • Oversee the consistent and standard implementation of policies, procedures and systems throughout the JT & A.
  • Ensure that organizational financial structures and systems are up to date and accommodate changes and growth of the JT & A and that staff is aware of them at all levels.
  • Play a role in promoting organizational learning and sharing
Human Resources / Personnel Management
  • Handle the staff Pension scheme.
  • Ensure that administration of salary scale and benefit packages are in line with the policies and procedures of JT & A.
  • Provide advice and guidance in organization and staff development activities and HR management issues in line with organizational change and development.
  • Follow-up and ensure that all national staff are included in the local insurance and medical scheme as per the JT & A policy.
  • Ensure that all personnel records are properly filed and updated.
  • Manage property insurance cover, renewal and claims
  • Manage procurement according to established policies and procedures in a transparent manner; review when situations demand
  • Liaise with local authorities on matters of work permit/visa & clearing, etc. when required
  • Ensure disposal of capital asset in accordance with the operational/government/procedures/ requirements
  • Oversee the service activities including the recording, receipt, storage, dispatch of supplies
  • Ensure that all JT & A office is up to date with all staff and office utilities i.e. phone bills, water, electricity, rentals,
  • Manage vehicles, service/maintenance and log book as per JT & A’s policies

  • Bachelor’s Degree in Accounting and 5 years’ of relevant work experience or Diploma in Accounting and 7 years’ of relevant work experience or equivalent combination of education and experience
  • Should have relevant accounting experience attained in a busy organization
  • Must have sound knowledge of accounting packages such as SAGE EVOLUTION.
  • Ability to work in a team oriented and fast paced environment
  • Must have high level of integrity, honesty, maturity, diligence, good attitude and commitments towards work.
  • Strong interpersonal skills and ability to create lasting relationships
  • Effective written and interpersonal communication skills
  • Detail oriented, organised and able to meet tight deadlines
  • Fluency in English.
