Job Description

Partners in Hope (PIH) is a Malawian NGO based in Lilongwe. In addition to operating a general clinic, inpatient ward and HIV/ AIDS clinic, the program unit provides support to Ministry of Health and CHAM health facilities in eight districts from Chitipa to Nsanje. Teams are working to meet the 90-90-90 targets for HIV testing, retention in care and viral load suppression through training, mentorship, supervision and health systems strengthening.

Partners in Hope – under the Care and Treatment Grant is seeking to recruit highly motivated individuals for the following position:



The Procurement Assistant will be responsible for timely filing of all procurement documents, sending of RFQs to suppliers and following up on submission of quotations.


  • Assisting Project’s Procurement Leads (PLs) in compiling procurement requests made from all departments.
  • Assisting the PLs in sourcing bids and quotations for requested goods and services.
  • Assisting the PLs in analyzing bids and quotations received from suppliers.
  • Preparing purchase orders and managing submission of the same to suppliers.
  • Following up with suppliers on timely delivery of goods and services and ensure that all necessary documents are provided.
  • Processing and following-up on suppliers’ payments with the Finance Department
  • Ensuring that all procured assets are properly tagged and updated in the Asset Register
  • Recording all purchases made in an electronic purchase recording list for easy monitoring by PLs.

  • CIPS Diploma in Purchasing and Supply
  • At least one-year experience working in a similar position
  • Very good command of English and Chichewa
  • Proficient in Computer packages especially with Excel and word
  • A clean driving license with an accident free driving record will be an added advantage
  • Excellent communication and reporting skills
  • Good analytical skills.
