Organizational Overview

National Organization of Nurses and Midwives of Malawi (NONM) is an independent, non-partisan, non-governmental union and professional organization representing nurses and midwives of Malawi. Its mission is to promote and maintain members’ professional interests and socio-economic welfare to effectively contribute to quality healthcare services rendered to the nation.

 

Accountability

Reporting to the Project Coordinator, the Project Assistant will work hand-in-hand with the Professional & Membership Services Officer as well as the Administrative Assistant.
Job summary The Project Assistant will be responsible for supporting day-to-day project implementation such as developing workplans towards achievement of expected goals; documentation and data entry of information and maintenance of registers on project activities; contribute to preparation of project reports; writing minutes on field visits/meetings and participate in drafting project proposals. The contract duration is 12 months with a possibility for extension upon successful performance.

 

Roles and Responsibilities 

  • Support maintenance of project correspondence, communication and filing system.
  • Support preparation and arrangement of field visits/meetings.
  • Support logistical preparations of projects.
  • Produce a variety of documents, reports, proposals and literature for projects.
  • Assist in data entry and the preparation of presentations and reports.
  • Organize and maintain project files and databases.
  • Assist in preparing attendance lists and confirm attendance for project activities i.e. meetings/ workshops.
  • Gather research information for project through various media i.e. internet, libraries, professional journals, and phone.
  • Prepare meeting materials, including reports, presentations, and agendas.
  • Take notes for meetings, members and stakeholder public consultations.
  • Assist in preparation and coordination of meetings and other project activities/events.
  • Assist with logistics for project activities/events.
  • Schedule meetings, arrange refreshments, and book venues.
  • Provide information, answer questions about projects and refer accordingly.
  • Assist in preparation of project communications using various media i.e. emails, phones.
  • Support membership-related communication in liaison with the Administrative Assistant and Professional & Membership Services Officer.
  • Prioritize and perform multiple tasks simultaneously.

 

Educational Qualification, Experience and Personal Attributes 

  • Diploma in Project Management, Social Sciences, Community Development, or Development Studies. Nursing or Public Health will be an added advantage.
  • Diploma in Administration & Secretarial studies.
  • At least three-years work experience in similar contexts.
  • Knowledge of Internet & Computer packages i.e. Word, Excel & Powerpoint.
  • Mature with strong leadership and interpersonal/ communication skills and entrusted with keeping confidentiality of privileged information.
