The International Institute of Tropical Agriculture (IITA) is now inviting applications from qualified candidates to fill the following position;

Position: Project Data Entry and Administrative Assistant

Location: Lilongwe


The International Institute of Tropical Agriculture (IITA) seeks a qualified candidate for the position of Project Data Entry and Administrative Assistant. The Project Data Entry and Administrative Assistant will work as a member of the MISST Soybean Project in Lilongwe, Malawi.

Essential Duties:

  • Follow-up beneficiary data collection by technicians and partners and solicit hard copies.
  • Check the completeness of the routine beneficiary tracking data collected by technicians and partners.
  • Verify correctness of the routine beneficiary tracking data by contacting beneficiaries as need arises.
  • Create hard and soft copy files for each indicator and organize filled-in routine beneficiary tracking forms under each indicator.
  • Track small and medium enterprises that buy basic soybean seed from IITA Malawi and collect their details by using formats developed for this purpose and process the data.
  • Clean and analyze annual beneficiary tracking survey data of 2017/2018.
  • Prepare draft report from the annual beneficiary survey data.
  • Provide secretarial services to the project.
  • Provide communication support between the project and all partners.
  • In coordination with the project coordinator assist in organizing meetings, and work groups.
  • Prepare, organize and provide administrative support for workshops and meetings.
  • Prepare meeting minutes, documents and reports as appropriate.
  • Make travel arrangements and hotel bookings for the project staff as well as project partners.
  • Provide support by monitoring expenditures within IITA, for cost centers under IITA Malawi. Accountant and following up on outstanding travel advances.
  • Perform any other duties as assigned by the supervisors.

Required Qualifications and Skills

  • Bachelor’s Degree in Agribusiness or a related study from a recognized university.
  • Proficiency with statistical software such as STATA.
  • Demonstrated ability to write research reports and journal papers
  • Excellent spoken and written English.
  • Ability to work independently.
  • Basic knowledge of Accounting,
  • Good organization and planning skills with effective time management skills,
  • Ability to perform multiple tasks and work under pressure,
  • Knowledge of work processes in international organizations,
  • Excellent communication skills,
  • Ability to work in a multi-cultural setting, team player
