Job Description

Background and Purpose

Welthungerhilfe is one of the largest German non-governmental organisations in the area of development co-operation and emergency relief. Primarily in co-operation with local partner organisations, its task is to contribute to improvement in the nutritional and income basis for the low-income populations in Africa, Asia and Latin America. Welthungerhilfe has been implementing projects in Malawi continuously since 2013. Sector focus is on WASH, Food and Nutrition Security, Livelihoods and when necessary, Emergency response.

The Welthungerhilfe Country Office seeks to employ an Accountant who works under the supervision of the Finance Manager to coordinate and ensure that grants compliance by partners is consistent with Welthungerhilfe systems and donor reporting requirements.

LOCATION- Lilongwe

START DATE — October 2019

Duties and responsibilities

  • Financial Administration and Accounting
  • Ensure complete processing of vouchers as required by Welthungerhilfe regulations and strict observation of donor rules and regulations.
  • Ensure financial documents are well safeguarded and out of reach from unauthorized persons.
  • Ensure timely processing of monthly reports are as per Welthungerhilfe’s standards and as per stipulated on the PPO agreements.
  • Ensuring timely dispatch of original vouchers to HQ as per WHH regulations.
  • Scanning of vouchers has the same deadline as sending hardcopies to HQ.
  • Verify the correctness of the cash book (petty cash and bank transactions) and report results to the Head of Project/Head of Finance
  • Verify the numerical correctness of invoices and execute payments (Cash and cheque payments)
  • Ensure open advances (receivables and payables) are settled latest in the following month.
  • Ensure financial records of assigned projects are in an auditable condition.
  • Quality control of financial reports from the field and Partner Projects.
  • Maintain accounting related data based on Fundspro accounting software
  • Monitoring of project budgets in relation to WHH standards and donor budget structure.
  • Execute monthly payment of salaries and statutory submission before the gazette deadline.
  • Process claims for travel expenses for local and expert staff.
  • Prepare financial documents for both internal and external audit as and when required
  • Immediately reports all problems involving finance and regulations to the Finance Manager
  • Keep an orderly file for project/program documents for accounting and finances
  • Cash flow planning
  • Ensure all time coverage of bank accounts to avoid overdrawing and related penalties.
  • Preparation of control of advance payments, cash flow tables funded projects.
  • Maintenance of online cheque confirmation report for easy verification/confirmation of cheque payments.

Desired Skills and Qualifications
  • University Degree in Accounting or equivalent
  • Current ICAM registration certificate
  • At least three years of relevant professional experience in the Finance field.
  • Proven record of experience in working with civil society partners in an NGO setup is essential
  • Demonstrated ability to manage multiple projects/tasks concurrently under deadline pressure and changing priorities
  • Excellent oral and written communication skills
  • Proficiency in MS Office, financial software applications and reporting packages
  • Willingness to travel to the Organisation’s project areas
  • Ability to work effectively in a multicultural team environment
