POSITION: ASSISTANT WAREHOUSE OFFICER (One position)

Reports to: Warehouse Officer

Commitment: Full Time (Monday-Friday)

Working Hours: Regular Office Hours (40Hrs/Week)

Location: Lower Neno

Partners in Health (PIH) is a non-profit organization based in Boston, Massachusetts, USA, whose mission is to provide a preferential option for the poor in health care. Through service delivery, training, advocacy and research, PIH works globally to bring the benefits of modern science to those most in need and to serve as an antidote to despair. PIH has programs in Haiti, Peru, Mexico, Russia, Rwanda, Lesotho, Malawi, Sierra Leone, Liberia, Kazakhstan and Boston.

PIH began working in Malawi in 2007, where today we support the Ministry of Health (MOH) to serve a catchment area of about 165,000 through 12 health centers and two hospitals in partnership with our sister organizations. Abwenzi Pa Za Umoyo (APZU) is in Neno District.

We, therefore, seek to recruit suitably qualified and experienced candidates for the position.

POSITION SUMMARY

The primary responsibility of the Assistant Warehouse Officer is to keep track of the stuck in the warehouse, by keeping an accurate inventory of all supplies and effective records of all inventory transactions.

Warehouse Management:

  • Receive and check incoming shipments, with the help of a pharmacy personnel if the delivered items are clinical in nature.
  • Collaborate with Warehouse Officer, plan and coordinate regular spot checks and annual physical stock take
  • Supervise activities of the warehouse and manage warehouse staff in absence of the Warehouse Officer.
  • Maintain an accurate inventory of the stock in the warehouse.
  • Manage distribution of inventory, follow the operating procedure guide, keep track of authorization to remove goods from the warehouse, where they are being supplied to, and purpose for such.
  • Track inventory levels accurately, and alert Warehouse Officer when inventory levels reach critically low levels.
  • Ensure all inventory is being kept in a detailed and systematic order, and that all goods are continually kept in an organized manner on a daily basis.
  • Oversee that the warehouse premises are clean and tidy every day and free of rodents.
Logistics Management:
  • Make import duty and local taxes waiver application
  • Track and trace all in transit shipments
  • Clear consignments with customs
  • Work closely with clearing agents.
  • Follow and make arrangements for their payments.

REQUIRED QUALIFICATIONS AND ATTRIBUTES 
  • Diploma in Supply Chain management, CIPS, Logistics or any relevant qualification
  • Minimum of Malawi School Certificate of Education(MSCE)
  • Should have three years’ experience in a similar position
  • Should have a basic knowledge of medical consumables handling and storage
  • Strong computer skills required, including proficiency in Microsoft Office Suite (Excel, Word and any inventory management system).
  • Proven ability to achieve results, ensure quality, and build teams and capacity
  • High level of maturity and professionalism required
  • Willing to live and work in a rural area
  • Good communication and Management skills
  • Those with a similar work experience in medical or healthy institution will have an added advantage.
