Job Description

The INGO COOPI is looking for a:

LOGISTICIAN /DRIVER (based in Lilongwe)

Duration: 10 months

Starting date expected: 10/12/19

Cooperazione Internazionale is an Italian Non-governmental Organization (NGO) that was founded in 1965. Over the last 50 years, its aim has been to break the cycle of poverty and help populations affected by wars, socio-economic crises or natural disasters to reach recovery and lasting development. In order to do so, it makes use of the professionalism of local and international operators, as well as partnerships with public and private subjects and the civil society. It is currently present in 30 countries across Africa, Latin America and Middle East, where it carries out 241 emergency and development projects.


Currently, COOPI in Malawi has:

  • A country office in Lilongwe COOPI sectors of intervention in Malawi are: Food Security and Nutrition, Disaster Risk Reduction and Management, Sustainable Agriculture and Irrigation, Rural Development, Health, Gender and Agribusiness.

Job title: Logistician / Driver

Reporting to: Project manager / Administrator

Responsible for Logistic, Transportation & Safety Liaison with Program and Administrative Staff Hours Full time


  • Support the Head of Mission and the Project Managers in planning and procuring supplies in compliance with COOPI’s internal procedures;
  • Conduct cost-analysis on goods to be procured for the identification of the most cost-effective suppliers;
  • Procure works, services and supplies according to donor’s and COOPI’s regulations;
  • Improve, check, control, correct, file and archive in hard and soft copies procurement documents, logistic books, list of supplies, assets and inventories in compliance with COOPI’s regulations;
  • Ensure that all legal aspects for the procurement and – in case – the importation of goods are respected documented and property filed.
  • Ensure timely transport of goods to the project implementation areas;
  • Ensure safety and security of COOPI assets in compliance with COOPI regulations and directives;
  • Provide regular and timely update to the COOPI teams on safety and security concerns and hazards;

Transportation & Safety:
  • Responsible for the overall vehicles’ fleet management and maintenance;
  • Transport COOPI staff and visitors as instructed, observing local traffic and road safety laws as well as COOPI vehicle policies, always ensuring safety and security of passengers and goods at all times.
  • Report any accidents immediately to COOPI senior management
  • Ensure that all COOPI vehicles are road worthy at all times.
  • Check expiry dates on vehicle Insurance, ensure all vehicles are provided with valid Certificate of Fitness (COF);
  • Ensure vehicles are equipped with the required safety equipment in full compliance with traffic laws and COOPI’s regulations,
  • Ensure cleanliness of vehicles;
  • Carry out thorough and regular inspections to vehicles before and upon completion of each field trip, and submit inspections’ reports to the supervisor.
  • Ensure all vehicles are provided with log sheets and pens; maintain and submit accurate records for all trips and fuel purchases;
  • Ensure all vehicles’ registers and logs are maintained and kept up-to-date;
  • Prepare and keep vehicle maintenance reports.

Other Duties
  • Assist with basic office/administrative support (photocopying, binding, etc.);
  • Deliver and pick up parcels, mails, equipment, materials including loading/unloading COOPI vehicles as required;
  • Any other duties assigned by management


  • Certificate or Diploma in Logistics, Supply Chain Management, Procurement or similar subjects;
  • In possess of a valid Malawian Driver’s License B since at least 10 years, with clean record; driving licenses BE and C would be an advantage; Certificates on Defensive Driving Training and/or other driving courses highly desirable;

  • A minimum of 5-year professional experience in logistics for international organizations or NGOs (highly desirable) or alternatively for public/private organizations with large scale operations in Malawi.
  • Job references from and contacts of previous employers are mandatory,
  • Demonstrated computer skills in Microsoft Word, Excel and Outlook or equivalent email software packages;
  • Good communication skills.
  • Fluent English is mandatory for the position;
  • Previous experience in driving vehicles with A/T and/or with M/T of different makes and sizes, from small saloon cars to 4×4;
  • Basic knowledge of mechanics and vehicle repair highly desirable;
  • Readiness to drive through tough conditions and terrains and ability to work odd hours if/when required.
