Job Description

pplications are invited from suitably qualified persons to fill in the position of Documentation Officer based at Kamuzu International Airport (KIA). The position holder will be reporting to the Head of Flight Operations.

Duties and Responsibilities

  • Plans short- and long-term crew availability to meet Malawi Airlines level of operation.
  • Develops and implements flight and cabin crew turn patters which will ensure optimum crew utilization and conducive working conditions based on Ops Manual Part A Section 7 also based on the validity of their license.
  • Supervises the correct data entry of all Malawi Airlines crew and transmission of the same to finance department in due time for pay process,
  • Releases the crew names list and supervises the transmission of same to the immigration authorities for the preparations of the general declarations of each flight.
  • Maintains continuous flight watch, prepares flight folders for following day and/or the same day operations; ascertains all necessary information is contained in all flights folders,
  • Register flight departure and arrival times in flight movement control form at all times during his/her shift, to advise send or request flight movement and or delay within fifteen minutes of flight schedules departure and or arrival
  • Shall advises ramp conditions of any aircrafts changes, revised departures, delays and cancellations, fuel data when necessary to pass to all concerned
  • To compose messages and disseminates information on irregularities of schedules operations to all concerned upon the review and approval of the flight dispatcher.
  • To handle flight information data entries from all available sources (form-1, movement report from out stations etc.)
  • To control and supervises various manufactures manuals, company operations, policy and procedures manuals and jeppesen airway manuals in central library, on board the aircraft's and necessary locations are kept up to date and current.
  • Ensure the distribution of operations documents to flight crew and adequate supply of documents, manuals, aircraft certificates and other publications.
  • Perform periodic checks of pilot's documents and report to crew planning department

Required Qualifications

Diploma in Library and Information Science, Human Resource Management, Business Administration or equivalent from recognized institution.
