Job Description

INSTITUTIONAL BACKGROUND

Jhpiego is an international non-profit health organization affiliated with the Johns Hopkins University. Jhpiego has been working in Malawi since 1999 implementing a wide-range of interventions in maternal health, family planning, HIV/AIDS prevention, care and treatment. Current projects include facility and community-based HIV testing services, and HIV prevention.

POSITION: EXECUTIVE ASSISTANT

Location: Lilongwe

Reporting to: Country Director

POSITION SUMMARY

To provide administrative and secretarial support to the Country Director Jhpiego Malawi office, including scheduling of meetings and appointments, making travel arrangements, photocopying and following up on documents requiring routing and approval, supporting planning across programs, providing support to the functioning of the senior management team and other general secretarial and administrative assistance depending on the needs.

QUALIFICATIONS AND REQUIREMENTS

  • A diploma or certificate in secretarial studies from a reputable institution
  • A diploma or certificate in Administration from a reputable institution will be an added advantage
  • At least more than two years’ experience of increasing responsible positions with administration and office management with an international organization.
  • Listening and Communication Skills: following instructions from supervisor, and ability to understand those instructions with little or no follow up. Working independently with a good sense of initiative. Self-management is necessary (i.e. motivation, dealing with pressure, adaptability), as is the ability to project a professional, consistent image. Both internal and external clients must see the Executive Assistant as a person of competence and high integrity, and trust his/ her capability and sense of confidentiality.
  • Proficiency in a broad variety of administrative and computer skills, including MS Word, Excel, Power Point, Outlook, and other Microsoft office applications e.g. writing mail or email communications, transcribing notes, and creating spreadsheets etc.
  • Excellent oral and written communication skills in English
  • Ability to develop productive working relationships with counterparts in other agencies and organizations worldwide
  • Ability to work in a complex environment with multiple tasks, work well with colleagues, short deadlines and intense pressure to perform
  • Ability to work long hours where there is need
  • Excellent organizational skills with a service oriented approach.
